Reservations
To make a reservation, please call us at (410) 745-9369 or toll free at 1-888-558-8008 or email to Jackie@baycottage.com and we will help you to plan a memorable Chesapeake Bay vacation. All reservations are subject to a 5% Maryland state tax and a 4% County accommodation tax. Check out our web site www.baycottage.com/RentalRates.asp for our rates and specials.

Rental Agreement
A rental agreement will be emailed to you for execution. You must be 24 years of age or older to obtain a rental agreement. Please execute and return the contract along with the down payment within 7 days of booking to: Jackie Fletcher, Bay Cottage, 24640 Yacht Club Road, St. Michaels, MD 21663.

Payment & Security Deposit
The security deposit is $1,500 minimum for each rental. Failure to receive your rent and security payment on time may void your reservation. The security deposit is fully refundable within 30 days following the last day of occupancy provided that real and personal property are in the same condition as when occupancy commenced and all terms of this agreement are met. Tenant is liable for all replacements and repairs that are outside what is considered normal wear and tear.

50% of the total is due within 7 days of booking. The remaining 50% balance is due 90 days before the beginning date of rental. Payments can be made by cash, check, money order or certified check. For reservations made within 30 days of the arrival date, payment must be made in full. Please mark your calendar with your payment schedule, as we do not send out reminders. If any deposit or portion of the deposit is not received by the specified due date, your reservation may be cancelled and the property released for general booking. A $50 service fee will apply to return of checks due to insufficient funds or other reasons.

Only the leaseholder is responsible for payment and all of the responsibilities spelled out in the lease, and only he/she serves as the point of contact.

Cancellations or Transfer
Should you wish to cancel your reservation, notice of cancellation must be in writing and received more than 90 days prior to the check in date. Bay Cottage will refund the sums you have paid less a 10% cancellation fee. If your cancellation is received less than 90 days prior to the check in date, we will try to re-rent the premises to a different party at the same rate for the same time period and only if successful will the Tenants rental payments be refunded less a 10% cancellation fee.

Tenant may request in writing a transfer from the contracted period to another period. We have sole discretion and a transfer fee of 5% will apply if the requested transfer is accepted.

Travel / Lodging Protection Plan
To cover the unexpected - extreme weather, injury or illness, we offer a "Lodging Protection Plan" to protect your Bay Cottage vacation investment. The Lodging Protection Plan, provided by C.S.A. Travel Protection, covers certain unexpected illness, injury and other unforeseen reasons for trip interruption and/or cancellation. If you choose to buy a Lodging insurance from us (C.S.A. is the underwriter), let us know and we will add the fee to your contract. Coverage is in force only after you have made the payment for this plan.

Occupancy
The maximum number of persons allowed is designated on your rental agreement. Children are counted in total occupancy unless they are under the age of two. Occupancy represents the total number of people allowed to occupy the property inside or outside, daytime or nighttime. Any party exceeding this number will be immediately evicted without a refund. The security deposit will be forfeited (See Paragraph 6 Use/Occupancy and Tenant Obligations of the Rental Agreement)



Accommodations
Bay Cottage was named "Best of the Bay" in 2004 by the Washingtonian Magazine. It is also featured in various prestigious travel magazines and books. This property has been serving as a waterfront bed & breakfast and now is offer as your own special "home away from home" for you, your friends, and loved ones to enjoy.

Bay Cottage is equipped with the high standard of first-class Bed & Breakfast and offers amenities not usually seen in vacation rental properties.

"Green House" Environmental Commitment
Bay Cottage is fully committed to the environment. We recycle (papers, plastics, glass, and aluminums), we compost, and we conserve. We provide recycle bins next to the garbage collection can. If you wish to compost your kitchen /food scraps, please ask us for the kitchen compost bucket and we will also direct you the whereabouts of our compost bin.

What we provide
Bay Cottage grounds feature: waterside pool, deepwater dock, lawn chairs along the shoreline, free and private parking, gorgeous sunset / sunrise over the water views, beautiful grounds with rose / flowering / herb gardens, outdoor grills, and a sundeck on piling for your "on the water" experience.

The house has air-conditioning/heating, satellite TV, private in-room Jacuzzi tubs (for the "House Plus" package), DVD, CD player (in the living room and in some of the bedrooms), VHS, sun porch, library with hundreds of books, magazines, cards, bikes, and recreational games.

For your cooking /dining pleasure, we provide: double ovens, double microwaves, drip coffee makers, toasters, blenders, food processor, electric juicer, electric grill, lots of pots and pans, dishes, utensils, flatware, and glassware. Cloth napkins and placemats, crystal wine/champagne glasses, ice buckets, & wine buckets are also provided for your elegant dining. For your poolside enjoyment, plastic and paper cups, plates and flatware are also provided.

We also provide condiments for your breakfast and cooking/dining needs: salt, pepper, sugar, Sweet 'N Low, Equal, and Splendid. Also, we offer some dry herbs and spices, and a good assortment of teas. First day supply of coffee is also provided.

All of the linens are first-class at least 350 counts - the beds are fully made up upon your arrival. The bathroom is fully equipped with bath towels, hand towels, wash clothes, bath mats, and bath rug. Every bathroom is equipped with a bath soap, toilet tissues, shampoo, Kleenex, and a hair dryer.

What to Bring
Your personal toiletries, large beach/pool towels, laundry and dish detergents, paper towels, charcoal for outdoor grilling - just to name a few.

Septic System
Bay Cottage is on septic. Please only allow those bio-degradable items into the system.



Check-In Procedures
The check- in time is 3:00 p.m. as stated in your Rental Agreement. With the size and complexity of the property, our housekeepers need every minute of the summer seasons 10 a.m. to 3 p.m. window to ensure the cleanliness. Please do not interfere with their work or pressure our staff to allow you entry before 3:00 p.m. It's a big job and everyone does their best to get you into a perfectly clean and inviting home. For your own security, do not enter the home or grounds or use the pool until we have checked you in at 3:00. Do not plan on buying groceries before check-in. We cannot let you check in early nor can we provide refrigeration facilities.

We will walk you through the property to show you all the amenities and provide additional information for your vacation enjoyment at 3:00 p.m.

Keys
We will offer two sets of door key to the lessee named on the Rental Agreement. Keys will not be given to anyone under 24 years of age. Please be sure to return all keys to us upon checkout.

Late Arrivals
If you will be arriving after 3:00 pm., please let us know. We will make every effort to greet you and walk you through the property and provide you with all the information for a most enjoyable vacation.

Check-Out Procedures
The cheek-out time is at 10:00 a.m. as noted on your Rental Agreement so the property can be prepared for the next guests. If you have any questions regarding your checkout time or procedures, do not hesitate to call or email us.

Please make sure the following items are completed prior to leaving the property (a complete list is noted on your check-in packet):
  • The trash should always be bagged and placed in the garbage bin. Place all the recyclable items in the marked recycle bins.
  • Empty and wipe out the refrigerator and the cupboards of all items you brought to the house.
  • Wash and properly put away dishes, pots, pans, glasses, silverware, and utensils.
  • Take out your laundry from the washer/dryer.
  • No need to strip the bed and/or bathroom. Our housekeeper will happily do the job.
  • Gather all of your personal items by checking all drawers and closets. We can not be responsible for any items left. Items returned will include a $25 service fee plus postage. Lost and found items unclaimed after thirty days are turned over to the St. Michaels Community House.
  • Leave furniture and TV/VCR's arranged as you found them.
  • In summer, please leave the thermostats at around 73. In winter, please leave it at around 68. Also, if you started a fire (in the fireplace), please leave hot ashes in the fireplace, and close doors to fireplace.
  • Please do a final walk through to check that doors and windows are closed and locked and that all lights are turned off. Pay special attention to outside flood lights.
  • Leave keys where you found them.
We will do a walk-thru with you during Check-out. You are financially responsible for damaged and lost of items of the property and they will be deduced from your security deposit.

Early Check-In & Late Check-Out
Are you eager to get your vacation started as early as possible? For $50.00 plus taxes, with advance arrangement, we will try to provide a 1:00 check-in.

Do you want to linger just a bit longer to enjoy the beauty of the property? For $50.00 plus taxes, with advance arrangement, we offer a 12:00 noon check-out when circumstances allow.

Let us know your special requests, and we will add it to your Rental Agreement.



SERVICES


Mid-Week Cleaning Services
Bay Cottage is professionally cleaned and beds made up when you arrive, but with a full week of vacation activity may need some cleaning services. Let us know when you make the reservation, or after you settled in. The Mid-Week cleaning is usually performed on Wednesdays.

The charge is $40.00 per hour and it takes about 5 hours to clean the whole house. The minimum charge is $120.00 per service visit. Payment is due at the time of Rental Agreement or services are rendered. The services include:
  • Cleaning and sanitizing bathrooms.
  • Vacuuming traffic areas- entry, stairs, hallways, bedrooms and living areas (personal belongings should be cleared from these areas). Housekeepers are not permitted to touch or move your belongings; they will clean around your things and enter sleeping areas only to vacuum and clean bathrooms.
  • Dusting furniture.
  • Touching up kitchen - cleaning floors, wiping down counters and appliances and emptying trash containers.
Phone & DSL Services
A telephone is provided for you to make local calls at no charge. All long distance calls are to be made collect, charged to your home phone or by credit card/calling card. No long distance or toll calls are to be charged to this phone. The telephone number is marked on the phone set. If the telephone service is interrupted, we will make every effort to correct the problem but cannot guarantee replacement or repair. We do have the "in-house service" with the phone company.

DSL fast internet connection via LAN using LINSYS.

Laundry and Dry-Cleaning Services
Although we provide laundry facility, if you desire to get laundry and/or dry-cleaning services, just let us know and we will recommend services.

Laundry is usually returned cleaned and folded in about 2 business days. Dry-Cleaning is returned in about 3-5 business days.

Catering Services
We work with local restaurants and caterers to provide meals at your "home away from home". The charges depend on your choices and their prices. Please let us know what you desire, and we will provide the list of these services for you to choose from.

Personal Chef Services
The Bay Cottage chefs Jackie Fletcher and Michele Williams are available as your personal chef. For a complete menu of items we offer, please make arrangement with us.

Personal Shopper Services
Bay Cottage works with several "gourmet" grocery stores. They offer gourmet crackers, pastas. Hot sauces, fancy cookies, selections of fine wines, special meats and home-made sausages. They also offer freshly made sandwiches, soups, salads, pastries, just to name a few. We offer "Personal Shopper" service for you, please make arrangement with us. The rate is $25 per hour with a minimum of 3 hours.

Baby-Sitting Services
Ready for a romantic night out at one of the great restaurants in St. Michaels? Bay Cottage provides baby-sitting services at $25 per hour, with a minimum of 3 hours for up to 3 kids. The baby-sitter can come in and look after the kids between 7:00 a.m. and 11:00 p.m. Or, if you prefer to drop the kids off at her place, it can also be arranged.

Trash Pick-up Services
Our trash pick-up man is here every Monday and Thursday mornings between 7:00 a.m. and 8:30 a.m. Your trash must be bagged and put in the collection bin with the lid tightly closed (this is a country estate, wildlife visits here).

We highly appreciate if you comply with the "Green House" commitment by recycling and/or composting.

Airport /Driver Services
We recommend calling Ed Boyer at (410) 745-2299. For BWI or Regan National pick-up or drop-off, it is $75.00 + parking + $2.50 Bay Bridge toll during the week, there is an additional $25.00 for weekends. For Dulles, the charge is $100.00 + parking + $2.50 Bay Bridge toll during the week and additional $25.00 for weekends.

Property Services and Numbers
We are committed that you have the best possible vacation experience here at Bay Cottage. We will make every effort to ensure everything runs smoothly. However, if needed, we will remedy "displeasing" situations and correct any problems you may experience in a timely manner. Please report any inoperative equipment or problems to Jackie Fletcher at (410) 745-9369. The back-up Property Manager's name and number will be in your check-in packet. Emergency numbers are also provided in the same packet.

For medical emergencies, dial 911. For non-emergency situations, please call during office hours or leave a detailed message. We will help to ensure you have a pleasant stay; however, refunds will not be issued based on malfunctioning equipment or other guest dissatisfaction.

Dockage Service
If you want to sail in to Bay Cottage, please call us at (410) 745-9369 or email to Jackie@baycottage.com so that we can make arrangements for your boat(s). There will be a charge for the dockage, please call and discuss the details with us. Upon confirmation, we will also send out a slip reservation confirmation.

Our personal boats are kept at the dock. They are not available for the guest's use and strictly no boarding or disturbing of these yachts is permitted. Guests will be financially responsible for any damage to these yachts.

Pre-Reservations Service
We can book your next vacation a year in advance so that you are sure you get the time that suits you best. Book within a week of your check-out date and we can guarantee the availability for you.
